How we handle your personal data
Effective: 16 October 2026
1. Who we are
This website is operated by Anchorage Foundation Limited (“Anchorage”, “we”, “us”), a charitable institution exempt from tax under Section 88 of the Inland Revenue Ordinance (ref: 91/20094). We respect your privacy and handle personal data in accordance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong.
2. What we collect
We only collect what we need to provide our services, including the information you give us through the forms on this site:
- Contact us: name, email address, topic and message.
- Volunteer sign-up: name, phone, email address and role of interest.
- Donation notice: name, email address, amount, transfer date, transfer reference, the proof of transfer you upload (screenshot or PDF), and the name for your receipt (if you request one).
You can also contact us directly by email or WhatsApp; we keep those messages so we can follow up. We never ask for sensitive details such as your HKID number or banking passwords.
3. How we use it
- to reply to your enquiries and follow up on your requests;
- to match donations and issue tax-deductible receipts;
- to arrange volunteer training, matching and contact;
- to meet legal and regulatory requirements, such as tax and accounting records;
- to improve our services and this website.
We will not use your personal data for direct marketing without your explicit consent.
4. Sharing and transfer
We do not sell or rent your personal data. We only share it with:
- service providers who host this website and provide email, content delivery and security services, such as our web host and Cloudflare. They may only process data on our instructions, and some of their servers may be outside Hong Kong;
- authorities such as the Inland Revenue Department, when required by law.
5. How long we keep it
We keep personal data only as long as needed for the purpose it was collected. Enquiry and volunteer records are generally deleted within two years after follow-up; donation and receipt records are kept as required by law, generally for seven years. After that, data is securely deleted.
6. Security
We use reasonable technical and organisational measures to protect your data, including encrypted connections (HTTPS), limiting access to form records to authorised staff, and regular security reviews. No transmission over the internet can be guaranteed to be completely secure.
7. Cookies and third-party content
This website does not use advertising or tracking cookies. It may set one essential cookie to remember your language, and stores a flag in your browser’s session storage so the loading screen only shows once per visit; it is cleared when you close your browser.
Fonts are provided by Google Fonts, so your browser connects to Google’s servers to load them. The site is delivered through Cloudflare for speed and security. External links (such as WhatsApp) are governed by those services’ own privacy policies.
8. Your rights
Under the Personal Data (Privacy) Ordinance, you have the right to request access to and correction of the personal data we hold about you, and to ask us to stop using it for certain purposes. To make a request, email info@anchorage-hk.org. We will respond within 40 days and may charge a reasonable fee for data access requests.
9. Children’s data
Forms involving anyone under 18 should be submitted by a parent or guardian. We use such data only to provide the related services.
10. Changes to this policy
We may update this policy from time to time. The updated version will be posted on this page with its effective date.
